AI Phone Assistant for Business: A Buyer's Guide

An AI phone assistant answers calls in natural language, works out what the caller needs and gets it done, around the clock and without hold queues. Unlike a phone menu it does more than route calls: it books appointments, records meter readings and files claims. When choosing one, four things matter most: data protection, accessibility, latency and integration with your own systems.

What can an AI phone assistant do?

Today’s systems cover far more than FAQ answers:

  1. Understand free speech. Callers describe their issue in their own words, including accents, detours and corrections.
  2. Ask follow-up questions. If a policy number or a date is missing, the assistant asks for it.
  3. Verify identity. It checks who is calling using a customer number, date of birth or other attributes.
  4. Run processes. It writes data into CRM, ERP or line-of-business systems and confirms the outcome.
  5. Hand over cleanly. Complex or sensitive cases go to a live agent with a summary, so nobody has to repeat themselves.
  6. Speak several languages. One agent handles calls in multiple languages.

IVR, voicebot or phone agent: what is the difference?

Vendors use these terms loosely. This breakdown makes offers easier to compare.

Where do companies use AI phone assistants?

Insurance

Insurers field a steady stream of routine calls: address changes, bank details, policy status questions, first notice of loss. An AI phone assistant verifies the caller, records the change and routes edge cases to the right team with full context. Utilities

For utilities, the bulk of calls are meter readings, installment changes, moves and outage reports. Many can be fully automated once the assistant is connected to SAP IS-U. During peaks such as annual billing, that takes real pressure off the hotline.

Retail and e-commerce

Retail customers ask about order status, delivery dates, returns and opening hours. An assistant with access to the shop and inventory systems answers instantly. For advice-heavy questions it can recommend products or schedule a callback from a specialist.

What should you look for when choosing a vendor?

Data protection

Phone calls carry personal data, often sensitive data. Check where voice and transcripts are processed, whether a data processing agreement under the GDPR is in place, and how recording and retention are handled. Since 2 August 2026, the transparency obligations in Article 50 of the EU AI Act also apply: callers must be told they are talking to AI. A short announcement at the start is enough. See also our glossary entry on the EU AI Act.

Accessibility

The European Accessibility Act, implemented in Germany as the BFSG, reaches the phone channel too. DTMF as an alternative to speech input, repeatable prompts and an always-available human handover are mandatory. The multi-channel principle adds a text-based option on top. Latency

On the phone, timing makes or breaks acceptance. Conversation research shows that speakers across languages avoid overlap and minimize silence between turns, with differences between languages falling within 250 milliseconds of the cross-language mean (Stivers et al., PNAS 2009). Classic architectures chain speech recognition, a language model and speech synthesis, stacking up delay at every stage. Integration

Who runs it day to day
